A clear policy concerning the use of AI should be in place in any company, irrespective of its size and industry. This policy will reduce the chances of lawsuits and risks regarding ethics and reputation, and enable employees to be responsible innovators with a clear understanding of limits.

1. Explainability and Transparency
Explainability means that outputs can be interpreted, questioned and enhanced. “AI systems must never become black boxes. Employees and stakeholders trust a system when they are aware of how it operates. Such trust is essential in cases where AI influences the process of hiring, funds, customer service or compliance. - Label AI: Tell people, customers and employees they are interacting with AI and not a human being.
- Share Documentation: Explain the data you used, the way you trained your models and what results are expected.
- Be Auditable: Ensure that AI-backed decisions can be reviewed or examined later.
- Explain Model Reasoning: Provide simplified descriptions of how an algorithm makes a conclusion or weightings.
- Determine Transparency Levels: Request that departments provide a specific level of transparency before the introduction of AI tools.

2. Data Privacy
AI systems require massive amounts of data, and may contain personal, proprietary or confidential data. Without guardrails, companies can invade the privacy of users, abuse confidential details or impose unethical practices on automated systems.

The user should also be aware of the access, correction or deletion of personal data. If using internal data, such as emails or reports for training, the informed consent of employees should be sought.
5. Minimization and Anonymization
There is a risk of collecting data that is not necessary and with no apparent benefits. Data minimization means that only a minimum amount of data is to be collected in order to carry out a certain action or model.
When possible, the data ought to be anonymized or de-identified prior to being processed by AI systems. This reduces the risk of personal identification and increases privacy protection. To mitigate the consequences of a breach, training datasets ought to be free of duplicate or sensitive data (AKA bad data).
6. Bias and Fairness
Bias in AI is not a technical problem alone, but a systemic issue that may support discrimination, cause biased decision-making and erode brand credibility. A good policy on the use of AI should consider fairness as a fundamental need, and not as an add-on. The use of an AI policy to address bias and fairness should consider the following principles:

- Testing at Development: Teams should conduct simulations before launch to expose latent biases in logic, predictions or decision thresholds. Multidisciplinary teams should review results to ensure fairness is not compromised in favor of speed or efficiency in development.
- Clear Ownership: There should be clearly defined responsibilities and processes for investigating, correcting and communicating the fix in case of bias.

7. Human Oversight and Responsibility
AI systems can increase speed and consistency, but cannot match the context, empathy and ethical reasoning that human judgment offers. “A strong AI use policy promotes responsible use by ensuring employees do not rely blindly on AI outputs. A good AI use policy should specify where and when human control is essential:
- Demand human oversight of AI results in risky domains such as hiring, finance, healthcare or legal compliance
- Ban totally automated decisions without escalation procedures for disputes, errors or edge cases
- Find the critical positions that can approve and oversee important AI decisions in every department
- Add compulsory audits of AI tools that learn over time through machine learning (ML) or user input
- Implement an explicit accountability chain that identifies the human party behind any AI-based decision
As soon as the oversight mechanisms are put in place, the policy ought to outline how employees are expected to perform such duties:
- Educate employees to analyze the results of AI critically and identify possible shortcomings or gaps in this system
